Associate, International

Department: International

Reports to: Vice President, International

Employment Status: Full-time, exempt

Location: 500 Montgomery Street, Suite 400, Alexandria, VA 22314

 

General Responsibilities:

The Associate will support the Vice President and the Managers of the International Department in their mission of developing and administering training, technical assistance, and resource development activities to communities in selected foreign countries. This position will be responsible for administrative and clerical practices to increase department efficiency and effectiveness.    

Specific Duties

Operations

  • Support formatting and design layout of department documents, materials, and presentations.
  • Work with managers and trainers on previously created training materials to ensure they are current.
  • Aid in updating departmental documents related to procedures, protocols and policy manuals.
  • Assist with the writing of quarterly program progress reports to funders.
  • Assist with drafting and updating contracts for vendors such as trainers and country coordinators.
  • Review and process invoices for payments and track expenses.
  • Support planning and preparations for international conferences and events.
  • Support staff, trainers, and country coordinators with scheduling travel, lodging, webinars
  • and virtual meetings.
  • Aid in drafting, tracking and reporting of departmental data from training evaluations, coalition development scorecard, coalition inventory and other sources of information.
  • Other operations duties as needed.

Administrative

  • Contribute to the learning management system (LMS) with uploading videos, courses, and other training tools, and participate in administration of the LMS.
  • Generate reports from LMS on effectiveness of training programs and completion rates and provide to managers and leadership.
  • Support video editing and uploading content to YouTube or LMS Courses.
  • Aid in managing the departmental calendar and training schedule.
  • Maintain office files, data management and electronic & stationary filing on SharePoint.
  • Coordinate and schedule meetings, appointments, and other events; create agendas and other internal & external documents as appropriate.
  • Other administrative duties as needed.

Required Experience, Skills, Training or Credentials

  • Bachelor’s Degree with three years of experience directly related to the duties and responsibilities specified.
  • Excellent Interpersonal, presentation, verbal and written communication skills are required.
  • Fluently bilingual in Russian and / or French.
  • Superior organization, time management and prioritization skills.
  • Experience in developing training materials for e-learning is desired but not required.
  • Experience with online meeting software: WebEx, Zoom and MS Teams
  • Experience with Docebo is desired but not required
  • Proficiency in computer application skills (Microsoft Office, Adobe InDesign, Photoshop, etc.)
  • Database management and records management skills.
  • Ability to perform in a fast-paced dynamic work environment.

Hours per day or week:  40 hours a week.

Amount of travel: Less than 20% (as appropriate for position)
